Terms and Conditions for Tutoring, Mentoring and Coaching Services​

 

These Terms and Conditions outline the agreement between The SpLD Hub (the Tutor) and the Client (parent/carer or adult learner) regarding the provision of tutoring and/or mentoring services. By engaging services with The SpLD Hub, you agree to the terms outlined below.

1. Service Delivery

• Tuition and mentoring may be delivered in-person or online, as agreed in advance between the Tutor and Client.
• Services are available to children, young people, and adults, and are tailored to meet their individual learning profiles and goals.
• Regular sessions typically follow term-time schedules for school-aged learners, with flexible arrangements for other clients as agreed with the Tutor.

2. Session Expectations

• Clients are expected to arrive or log in on time. If a client does not arrive within 10 minutes of the scheduled start time, and has not provided prior notice of lateness, the session will be marked as missed and not refundable.
• Homework is not a standard part of service delivery; however, the Tutor may occasionally suggest follow-up tasks or activities to reinforce learning.
• Online sessions require a reliable internet connection, appropriate device, and a quiet, distraction-free environment.
• Only agreed platforms (e.g. Zoom, Google Meet) may be used for online delivery.

3. Payment Terms

• Payment for ongoing tuition or mentoring is due in blocks of four weeks in advance.
• Ad-hoc sessions (not part of a regular schedule) must be paid in full before the session takes place.
• Clients are expected to pay for all scheduled sessions, including those missed due to sickness, appointments, holidays, or other commitments, as time is reserved specifically for the individual and cannot be reallocated.
• No charges will apply for sessions falling during Tutor-notified holidays.
• If the client plans a break or holiday, this must be communicated with at least two sessions' notice.

4. Cancellations and Missed Sessions

• While all sessions remain chargeable (see section 3), clients are expected to notify the Tutor as soon as possible if they will be absent due to illness, appointments, or other personal reasons.
• Missed sessions are not refundable and cannot be rescheduled, except in cases where the Tutor cancels.
• If the Tutor is required to cancel a session, an alternative time will be offered where possible, or a refund issued.

5. Behaviour and Conduct

• For children: Consistent engagement and cooperative behaviour are essential. If a child shows ongoing signs of non-engagement, disruptive behaviour, or lack of progress, this will be discussed with parents/carers and monitored to evaluate whether sessions remain beneficial.
• For young people and adults: Clients are expected to use respectful language, punctuality, and appropriate conduct throughout the sessions.
• In-person etiquette:
– Parents/carers are not permitted to attend sessions with their child, to support independent learning.
– They may wait in their car nearby, and the tuition space will remain open and accessible if they wish to check back during the session.
– Clients and visitors must respect the neighbourhood by:
- Not walking across neighbours’ driveways or gardens
- Not parking in front of private driveways
- Not leaving engines running outside
- Considering use of nearby supermarket car parks where possible

6. Safeguarding and Confidentiality

• Sessions are conducted in accordance with the Tutor’s Safeguarding Policy, Privacy Policy, and IT Use Policy.
• Any safeguarding concerns will be managed in line with statutory guidance and local protocols, and may be reported to appropriate authorities if required.

7. Termination of Services

• Clients may terminate ongoing tuition with four weeks’ notice, but there is no obligation to attend sessions during the notice period. Payment for the four-week notice period is still required.
• The Tutor reserves the right to terminate the agreement at any time in the event of:
– Repeated non-payment or late payment
– Disrespectful or inappropriate behaviour
– Lack of engagement or breach of these terms

8. Agreement

Booking and payment for sessions indicates agreement to these Terms and Conditions. These may be updated periodically, with reasonable notice given to clients. Continuing to use the service constitutes acceptance of any updates.
